How to Reduce Image Size for Online Forms (Under 100 KB)

Many online forms say "upload a photo under 100 KB" or "maximum 200 KB". A phone camera photo is often 3 to 8 MB, so it gets rejected. The good news is that you can make a picture much smaller in a minute, and it will still look fine on screen.

Why a photo is so large

A file size depends on two things: how many pixels the picture has and how much it is compressed. A modern phone takes photos of 4000 pixels or more across, which is far more than a form needs. File sizes are measured in KB and MB, and 1 MB equals about 1,024 KB.

The three ways to reduce size

  1. Lower the width. This saves the most. Going from 4000 pixels to 800 pixels can cut the size by more than 90 percent.
  2. Lower the quality. A JPEG quality of 70 to 80 percent looks almost the same to the eye but is much smaller.
  3. Use the JPG format. JPG files are usually smaller than PNG files for photos.

Steps to get under 100 KB

  1. Open our free Image Compressor and choose your photo.
  2. Set the maximum width to 800 pixels.
  3. Look at the new size shown under the controls.
  4. If it is still too big, move the quality slider down in small steps of 5 to 10.
  5. When the size fits, press Download image.

Check the form rules first

Some forms ask for exact dimensions, for example 35 mm by 45 mm for a passport style photo, or a fixed number of pixels. Read the instructions carefully, because a file can be small enough but still be rejected for the wrong size or format. If a form needs a specific crop, crop the picture first and then compress it.

Documents and screenshots

Photos of documents with small text need more care. Keep the width at 1000 pixels or more and the quality at 75 percent or higher so the writing stays readable.
